3.8. Restructuring

The Restructuring feature allows you to transfer access to documents or tasks from one position to another. The feature also allows you to delete access. Users with the Admin or OrganizationManager roles can perform transfer or deletion (users with this role can transfer access only to documents they have access to), who have access to all documents and tasks in the system. Document and task search for transfer is performed using Search Templates.

Note:

The Restructuring feature does not transfer access configured for document types. Instead, it transfers access configured for individual documents or tasks.

3.8.1. Transfer Access

  1. In the navigation panel, select the Org. Structure 1 workspace.

  2. Select the Restructuring 2 shortcut.

  3. In the From position field, select the position from which the transfer will be performed.

  4. Go to the required tab — Documents A or Tasks B — depending on which objects you want to transfer.

  5. Select the Search Template button for documents or tasks 4.

  6. In the Search Template window, select an existing search template or create a new one.

  7. Optional: Set additional filters or/and apply presets 1.

  8. Select the Search 2 button.

    Note:

    Regardless of the conditions set, the search always adds a condition for the presence of the selected position. Therefore, in restructuring you can perform a search without conditions set — unlike search through Search Templates. When changing the position, the search results are updated automatically. When deleting a position, all documents / tasks that match the search conditions are displayed.

  9. If you selected a search template that supports folders, you can enable or disable folder view mode. To do this, select the icon.

    In folder view mode enabled, you can select a folder to display the documents or tasks contained in it. In folder view mode disabled, all documents or tasks are displayed, regardless of their location.

  10. Check the boxes next to documents or tasks whose access you want to transfer:

    • To select all documents or tasks, check the box in the table header A.

    • To select individual documents or tasks, check the boxes next to the required rows B.

Note:

You can transfer access to up to 500 documents or tasks at a time.

  1. Select the Process button.
  1. In the Processing window, select Transfer.
  1. In the To position 1 field, select the position to which the access will be transferred.

  2. In the Roles 2 section, select the roles to which the transfer will be performed. Select at least one role.

  3. Select the Transfer 3 button.

After successful transfer, the corresponding message is displayed.

Note:

If you select 500 documents / tasks and many roles, the transfer may take some time. It is recommended to wait for the transfer success message before performing the next transfer.

3.8.2. Delete Access

  1. In the navigation panel, select the Org. Structure 1 workspace.

  2. Select the Restructuring 2 shortcut.

  3. In the From position field, select the position from which the deletion will be performed.

  4. Go to the required tab — Documents A or Tasks B — depending on which objects you want to delete access from.

  5. Select the Search Template button for documents or tasks 4.

  6. In the Search Template window, select an existing search template or create a new one.

  7. Optional: Set additional filters or/and apply presets 1.

  8. Select the Search 2 button.

    Note:

  1. Select the Process button.
  1. In the Processing window, select Deletion 1.

  2. In the Roles 2 section, select the roles on which deletion will be performed. Select at least one role.

    Note:

    The Document Author role cannot be selected for deletion.

  3. Select the Delete 3 button.
